How to Make Your Phone Appear Busy

The Mitel IP phone lets you spoof a busy status, which essentially makes your phone appear engaged. Other users who are on your phone system will see the normal busy message on their phone screen.

One of our favorite Mitel phone system tips is this Make Busy feature, which you’ll need to have a key pre-programmed to be able to use it. If you’re unsure whether your phone is programmed to use this feature, contact us.

Turning Make Busy On

To make your Mitel IP phone appear busy, press the pre-programmed key.

The screen on your phone will display “MAKE BUSY,” and the LED light next to the key will light up.

Disabling Make Busy

To stop your phone from appearing busy to other callers, press the Make Busy pre-programmed key again.

How to Sign In and Out of Hot Desk on a Mitel IP Phone

You can log into any phone that’s designated as a Hot Desk. You can then use your existing settings and recall your personal call history.

To activate this feature, you need to log in to the phone.

This Mitel phone guide is for MiVoice Business (also known as Mitel 3300 ICP) users only.

Signing In to a Hot Desk Phone

To log in, the phone must not be in use. Follow these steps:

  1. Press the Hot Desking pre-programmed key (ask your administrator if you’re not sure which key to use)
  2. Press Login
  3. Tap in your user directory number, which is unique to your profile
  4. Enter your PIN number
  5. Press OK

Signing Out of a Hot Desk Phone

To log out, the phone must not be in use. Follow these steps:

  1. Press the Hot Desking pre-programmed key (ask your administrator if you’re not sure which key to use)
  2. Press Logout
  3. Press Confirm

Your own unique profile can only be used on one phone at a time. If you are logged into a Hot Desk phone, and you then log in to another phone, your first session will be logged out automatically.

Hot Desk - How to Remotely Sign Out on a Mitel IP Phone

We’ve already looked at the Hot Desking feature on the Mitel IP Phone. It lets you log into any station that’s been designated as a Hot Desk, so you can bring all of your settings with you.

If you forget to sign out of a Hot Desking phone, you can sign out remotely from a different phone. For this to work, the phone needs to be configured to allow the feature. contact us to find out if this is already set up.

Remotely Log Out of a Hot Desk Phone

Here’s how to do it:

  1. Dial 111 on your phone
  2. Dial the Hot Desk directory number of the phone you want to log out of
  3. Press Logout
  4. Press Confirm

Automatic Logout

You can only log into one Hot Desking phone at a time. If you’re logged into a Hot Desk phone, and you then log into another, the system will automatically log out your first session.

What is Message Waiting?

Have you noticed that your phone is lighting up like crazy? Congratulations, you have a message! To get that Message Waiting Indicator (MWI)  Mitel IP phone turned off, follow the steps below.

You can use a key on your phone to quickly return the call.

Before You Start

In order to use this feature, you’ll need to have a key on your phone pre-programmed as your MWI key. Ask us if you’re not sure about how to do this.

Returning a Call

If the message waiting LED is illuminated, simply press the pre-programmed MWI key to return the call. Your phone will automatically dial the extension number for the person or group that left the message.

Paging Another Mitel IP Phone

Paging involves making a call to another phone, and then making an announcement via its loudspeaker. The phone does not have to be answered for a Page to be successful.

To Page, you will need to have a key on your phone pre-programmed to use the Page function. Contact us if you aren’t sure which key to use.

How to Page Another User

To Page a phone, follow these steps:

  1. Lift the handset on your phone
  2. Press the Page pre-programmed key
  3. If required, dial the Paging Zone number
  4. Speak into the handset

Your announcement will be played out on that phone’s loudspeaker.

Setting Up Speed Dial on Your Mitel IP Phone

On a Mitel IP phone, speed dial is called Speed Call. Use this feature to dial someone with a single keypress.

You can only assign one number at a time.

Setting Up Speed Call

To use this feature, you’ll need to program a number to the Speed Call feature key. You can do this using the Settings application.

Once programmed, simply lift your handset and press the key to place the call.

How to Play Background Music on a Mitel IP Phone

When a Mitel IP phone is not in use, you can use it to play background music. This can be done by switching the music on and off using the keypad on the phone.

Controlling Background Music

To turn music background on for your phone, press the Music softkey. Press it again to deactivate music playback.

While music is playing, the LED next to the softkey will be illuminated.

Ending a Callback on a Mitel Phone

If you are setting up a callback on your phone, you may need to cancel the request. This is a quick and painless procedure, but you may need to refer to the list of Mitel feature access codes before you start.

Cancelling One Callback

  1. Lift the handset on your Mitel IP phone
  2. Dial the appropriate feature access code
  3. Dial the number of the station
  4. Hang up your handset

Cancelling All Callbacks

  1. Lift the handset on your Mitel IP phone
  2. Dial the relevant feature access code to cancel all callbacks
  3. Hang up your handset
